Events Coordinator- Part time

The Event Coordinator will provide executive administrative assistance and support. The person in this position will impact effectiveness of all executive communication and administration network wide.

Responsibilities

  • Act as liaison between all internal departments and external business associates to ensure that all matters are attended to in an efficient and timely manner
  • Phone work: manage phone calls to ensure that attention is always given to the most urgent materials/requests first
  • Update and maintain schedule; schedule meetings with numerous attendees as requested; Reserve conference rooms and order food for meetings; Update and maintain contacts
  • Assist in special projects as requested
  • Assist with daily operation of the network, ensuring smooth and efficient workflow
  • Sort/prioritize mail; flag & highlight any relevant articles and advertisements
  • Collect and organize documents from direct reports
  • Take accurate notes during senior team and channels meetings and distribute materials pre & post meeting
  • Coordinate and manage quarterly channel meeting, senior staff offsites and events
  • Manage mass communications
  • Arrange travel, including car service, air travel and hotels
  • Draft and process all travel, entertainment and business expenses, including reconciling and responding to any auditing or finance requests
  • Be able to seek out and disseminate pertinent information

Qualifications/Requirements

  • Minimum 2-3 years of practical experience in program management, lead generation or marketing role in a sales driven, B2B environment
  • Strong communication skills, both verbal and written
  • Self-starter with excellent phone manner, interpersonal skills, and oral/written communication skills
  • Ability to maintain professional discretion with sensitive and privileged information
  • Proactive & detail-oriented with strong organizational skills
  • Ability to thrive in a fast-paced, team-oriented, deadline-driven environment
  • Ability to prioritize administrative duties. Demonstrated ability to handle multiple projects and details simultaneously
  • Excellent interpersonal skills including tact and diplomacy
  • Ability to work cooperatively with staff inside and outside of the department
  • Ability to exercise good judgment
