Legal Administrator

Singapore Contract Negotiable

Salt is hiring a Legal Administrator to assist the Finance & Treasury team execute the legal documentation work and support the statutory and regulatory compliance processes within the organization.

RESPONSIBILITIES

  • Maintain corporate documents, internal databases and related records and support administration activities.
  • Perform regular corporate tasks, including daily tracking of documents and routing documents for signature and distribution, document filing, and data organization.
  • Coordinate with cross functional partners (XFN’s), both internal and external to effectively deliver executed legal documentation.
  • Support the timely completion of the statutory and regulatory compliance processes, following up on all outstanding matters and/or queries.
  • Contribute to design and implementation of process improvements for the benefit of the corporate legal team and XFN partners.
  • Coordinate signature requests, arrange for notarizing and legalization of documents.
  • Coordinate and follow-up on status with internal and external notaries, as well as external apostille service providers.
  • Liaise with other internal departments, counsels and company secretarial service providers.
  • Manage the vendor billing process and onboarding matters.

MINIMUM QUALIFICATIONS

  • Have at least 1-2 years’ paralegal/company secretarial experience in a busy law practice, in-house corporate secretarial department OR minimum of 5 years general administration experience, ideally in a corporate environment.
  • Previous experience in managing international corporate matters (in Singapore or APAC) as a secretary/paralegal within a legal department is an advantage.
  • Excellent interpersonal and communication skills with the ability to collaborate effectively with stakeholders at various levels.
  • Have an interest in being part of building an international practice; and
  • Have a strong academic background, excellent communication, organizational and attention to detail skills.
  • Organized and extremely diligent with desire for continuous improvement.
  • Excellent computer and analytical skills (MS Office (Word, PPT, Excel), Outlook, Google suite and Diligent software) and an interest in improving processes through IT.
  • Excellent planning, organizational and interpersonal skills.
